1. b) Proposals - Standard MakeWay Application Responses
To ensure standardization across project grant proposals and reports, please use the following standard answers when completing the organization information sections on applications.
General Organization Information
Organization name:
- MakeWay Charitable Society - [Project Name]
Legal name:
- MakeWay Charitable Society (if there's a spot for an operating name or dba)
- However, if there is no operating name field, use: “MakeWay Charitable Society - [Project name as it appears in their TOR]” i.e., no parentheses, no “project of”.
Address:
- Depends on funder and project, but preference is for using Vancouver, Yellowknife, or Toronto office
- Considerations: Is the funder geographically focused? Is it a northern funder? If unsure, check with Project Specialist.
Contacts:
In order of preference:
- Primary contact: Project Director
- Secondary contact: Project Specialist
- Exceptions: IndigenEYEZ, summerlunch, Storefront
- Approver: Director, Shared Platform
- ED/CEO: Joanna Kerr
- Board/SC Chair: Use [email protected] contact information for board contact and Project Director contact information for steering committee contact
Head of organization:
- CEO unless this person is expected to be the signing authority and/or contact for the application, in which case use the Director, Shared Platform for proposals under $100K. If listing CEO, use contact information for CEO’s executive assistant.
Signing authority:
- Shared Platform Director for proposals up to $100K
- For proposals over $100K, also include Finance Director
Executive team:
- Joanna Kerr, Gayle Gioiosa, and Project Director
Board of directors:
- If it is an attachment, include the MakeWay board list along with the project steering committee list
- If it is an online application with word count or field limitations, include the MakeWay board chair and the project steering committee members
Incorporation and founded dates:
- Incorporation: MakeWay Charitable Society (October 12, 1990) and if there’s space, include the project founded date
- Founded: Project date
Have you ever applied for funding from X funder before?
- If yes/no option and description field, say no and then provide the following explanation:
[Project name] has not applied to [funder name] before, though other projects on MakeWay’s shared platform have. Each project operates under a Terms of Reference and a dedicated volunteer Steering Committee to achieve its charitable purpose. Each project is responsible for fundraising to cover all costs, including a proportional contribution to shared platform operations.
- If yes/no option with no description field, the response will depend on the implications. Check with the Project Specialist.
Organizational/annual budget:
- Use project budget unless it is clearly linked to our CRA number, in which case use MakeWay Charitable Society (and ideally include the project as well)
- Wording included in budgets: 12% Overhead Allocation (HR, Governance, Financial and Grant Management)
Financial statements:
- MakeWay’s most recent audited financial statements + project income statement and balance sheet for the matching year
- If project joined the platform after the year of the last audited financial statements, include the current year financials with a note indicating such. E.g. [Project name] is a new project on MakeWay’s shared platform, commencing [month/year]. The unaudited financial statement above is provided for informational purposes. Also included in this submission are the MakeWay audited financials for [year]. Finance can create the financial statements for you that include this wording.

For standard language related to funder-specific requirements, please see the Shared Platform Grant Application "Cheat Sheet"
Note: Some U.S. funders require applicants to have 501c3 status. MakeWay Foundation has this status, while MakeWay Charitable Society does not.
In these circumstances, the project specialist should advise whether the grant will be submitted through the shared platform’s fund at MakeWay Foundation with a grant recommendation to the project.
If submitting through MakeWay Foundation, the organization information should be that of the Foundation, not the Society.
