Proposal Preparation Stage
- The Project or Project Specialist will notify the Shared Platform Coordinator of their intent to apply for a grant with as much notice as possible.
- The coordinator should try to get an estimate of the total amount being requested. This will help determine signing and review requirements.
- If available, look at the proposal guidelines to determine general eligibility, required supporting documents, submission method, deadline instructions, etc.
- If it is an online submission, request the username or password from the project or create one for the project, share the login with the project, and add it to the password manager.
Note: Some U.S. funders require applicants to have 501c3 status. MakeWay Foundation has this status, while MakeWay Charitable Society does not.
In these circumstances, the Project Specialist can advise whether the grant will be submitted through the Shared Platform’s fund at MakeWay Foundation with a grant recommendation to the project.
Salesforce Opportunity
- Create an opportunity in Salesforce. Refer to the Salesforce - Creating Opportunities article for detailed instructions on how to create an opportunity.
- Create a Task for the Proposal Deadline, including the following information:
- Subject: REMINDER: [Project Name] Proposal due to [Funder Name]
- Due Date
- Name: Project Specialist, Finance Advisor, Project Director (and any other relevant project staff)
- Type: Proposal
- Comments: Input all relevant information, including login info, links to templates, supporting documents, etc.
- In the comments, also note whether signature or approval is required
- If you're ready to send the email invite to the people in the Name field, select Society from the Send Email Invite dropdown menu
Supporting Documentation
- Gather and prepare all supporting documents and save them in the Box section of the Salesforce opportunity in a folder called Supporting Documents
- Upload them to the funder portal for online submissions. Refer to the Supporting Documentation article for more information.
