1. c) Proposals - Supporting Documentation
Many funders require additional documentation in addition to the proposal narrative and budget. The documents that are most requested include:
- BC incorporation document
- Ontario corporation document
- NWT and Yukon registration documents
- CRA Confirmation of Charitable Registration
- Bylaws and Constitution
- Audited Financial Statements and Project Financials
- Board of Directors and Steering Committee
The documents noted above are saved in Box in a folder called Standard Proposal Attachments.
Board of Directors List
When a funder asks for our board of directors list, we combine the MakeWay board list with the project’s steering committee list.
- Check the Steering Committee folder for the project’s steering committee list.
- If the date in the filename isn't recent, confirm that the list is current by either consulting the project’s fund roles, checking the project’s website, or asking the project director.
- If there is no steering committee list for the project in the Steering Committee folder, check with the Project Specialist or project for a current version.
- Combine the steering committee list with the most recent MakeWay board list. If the date in the filename isn't recent, note that the board lists might be outdated. Make sure any new members are added, former members removed, and contact information updated to the current executive assistant’s email and phone number.
- Make sure you save any new steering committee lists in the Steering Committee folder and in the Supporting Documentation folder on the corresponding Salesforce opportunity.
Financial Statements
When a funder asks for our audited financial statements (AFS), we also provide them with the project’s Income Statement (IS) and Balance Sheet (BS) for the matching time period.
- Check the Project Financial Statements folder for the project’s Income Statement and Balance Sheet. If the most recent statements are there, append them to the front of MakeWay's most recent audited financials and save them in one document.
- If the most recent project statements aren’t in the Project Financial Statements folder, ask the assigned finance lead, but make sure you submit this request well ahead of the deadline.
- Make sure you save any new project financials in the appropriate project financial statements folder and in the Supporting Documentation folder on the corresponding Salesforce opportunity.
