Project Closing Process
The following steps outline the high-level process for closing projects. Each team/position has its tasks to complete as part of the process. The process for those individual tasks is not outlined below. Please refer to your team's process documents to complete the required tasks.
- Director, Shared Platform, Project Specialist, or Project confirms project closure and communicates it to the support team.
- Coordinator saves a copy of the project closing checklist template on the project's Salesforce fund record.
- Coordinator schedules an initial huddle to discuss the closing timeline and review the project closing checklist. At the end of the initial huddle, the support team determines the timing for the second huddle and the coordinator schedules. Note: it is recommended that a huddle be held in each stage of the closing process: Initiation, Preparation, Implementation, and Post-Closure.
- In between huddles, the responsible parties complete the required tasks as outlined in the checklist and discussed at the huddles.
- As tasks are completed, the responsible parties should inform the Coordinator so they can update the project closing checklist. In addition, the full support team will review the tasks during all subsequent huddles and the coordinator will update the checklist.
- The Manager team will discuss the status of closing projects at bi-weekly meetings to determine any additional required support and update the Status of Closing Projects document.
- Following the bi-weekly manager meeting, communicate updates to Lizzie.
