Certificates of Insurance (COI)
A funder or partner may ask MakeWay to provide a COI to confirm our insurance coverage and/or to be named as an additional insured on our policy. This provides them with added protection while engaging with our projects or funding activities.
If a funder or partner requests Proof of Insurance you can provide them with the general To Whom It May Concern (TWIMC) COI, which can be located in the COI folder of the appropriate fiscal year. Provide the TWIMC COI for 2 million, unless they have specifically requested General Liability of 5 million.
If they have specific insurance requests, or request to be added as Additional Insured follow the steps below.
Requesting a COI
- Review the details required for the Certificate of Insurance, which are often noted in a grant agreement, rental agreement, etc. The request may come from the project specialist or from the project directly. If the request comes to you from the project and the specialist is not cc'd, please alert them to the request.
- Complete the COI request template.
- Submit the completed template and accompanying documentation (e.g., rental agreement, grant agreement, etc.) by email to the appropriate AON contact(s) noted in the request template.
- Save a copy of the completed request form in the COI Request folder for the correct fiscal year.
Once the COI is Received
- Once you receive the COI, send a copy of the project specialist and/or project director. Return it to the party that requested it, if applicable.
- Save a copy:
- If the COI is required as part of a grant agreement, file it on the Salesforce opportunity.
- If the COI is for an event, file it on the project's fund record in Salesforce.
- Save a copy in the Certificates of Insurance sub-folder in the appropriate fiscal year within the insurance folder in Box.
- If the COI will be needed next fiscal year, add a copy (or bookmark link) in the COIs to renew folder for the next fiscal year.
- If COI is for a multi-year agreement, tag Adrienne in the comments and include oppy link
