Renewing Opportunities
We use opportunity renewals to track repeating funding relationships. This allows us to link opportunities that have been renewed with the same funder over the years. It is an easy way to reference past opportunities for the same stream/project and their progress over time. Here are some guidelines on when an opportunity is or isn't a renewal:
Renewal:
- If the opportunity itself is already a renewal, it is likely that the new opportunity will also be a renewal.
- Continuation of the same work with no new agreement
- Confirmation that it's another year of funding to continue work related to a grant agreement, but it’s not an extension of that grant (i.e. not more payments to the same opportunity)
- Funder refers to it as a renewal
- New agreement but for the same work, and the new agreement refers to the previous agreement
It might not be a renewal if:
- Description of work has changed at all and/or there’s a new agreement that doesn’t refer to the existing one
- If the funder (e.g. GNWT) let's us know they found more money for a previous grant. Typically addtional payments will be added to the existing opportunity.
Note that these are not hard and fast rules, and it is still best if the Project Specialist confirms whether an opportunity should be set up as a renewal.
Creating a renewal opportunity
- While on the opportunity that you want to renew, click the Renew Opportunity button in the top right
- The following message will appear on the screen:

- The renewal opportunity has been created in Ask Planned. However, you will need to go back to the opportunities tab to find it. Click on Opportunities, the renewal will display in your recently viewed opportunities.
- Scroll down to the Renewal Information section of the opportunity. The Renewal? box should now be checked and there will be a link to the Original Opportunity
- On the original opportunity, the Renewed? box will now be checked and there will be a link to the Renewed Opportunity
- Update information on the renewal opportunity as needed:
- Dates: The submission date and close date will auto-populate to 1 year from the renewed opportunity. This is not always accurate when the renewal is for multi-year grants. E.g. If we receive a 3-year grant in 2008, the renewal will most likely happen in 2010 or 2011, not in 2009.
- Tasks: The tasks will not be transferred over. You will need to create any new tasks associated with the renewal opportunity.
- Payments: Update the payments with the correct amounts and scheduled dates
