Uploading Journal Entries via CSV

Fill Out CSV Template

The first step is to open the CSV Import Template from Box and begin to fill out the details of the Journal Entry: 

  1. Fill out the Journal Entry Template on the "JE Template" tab
  2. View the comments in the header row for cell requirements (formatting, etc.)
  3. Always include the NetSuite Internal ID in order to obtain the correct match for coding
    • Look up Internal IDs by navigating to: Financial > Lists > Accounts / Awards / Designations / Departments
  4. Delete the example JE from Row 2/3
  5. Save As: File Type = "CSV (Comma Delimited)"

Import CSV File

Once the CSV file is prepared, the next step is to import this in to NetSuite (note: this can be imported in to Sandbox as a test if necessary) to create the journal entry:

  1. Navigate to: Setup > Import/Export > Saved CSV Imports
  2. Select Saved CSV Import “TC - Standard Journal Entry
  3. Follow the Standard Import Procedure:
    • Scan and Upload CSV – Browse and select CSV file
    • Import Options – No change
    • File Mapping – No change
    • Field Mapping – No change
    • Save Mapping & Start Import – Click the down arrow and “Run”
  4. Click “View Import Status”
  5. Sort by Date (highest to lowest), if necessary, to bring your import to the top of the list
  6. Refresh the report until the Status = Complete
  7. Review the Message
  8. If the import is NOT successful...
    • Download the “CSV Response”, you will see any error messages in Column A 
    • Correct the error(s), and start the import again at Step 1
  9. If the Import is successful... 
    • Review the imported transaction

Review the Journal Entry

Once you have successfully imported your Journal Entry, you should review to ensure that your transaction is as expected:

  • Navigate to: Financial > Other > Make Journal Entries > List
  • Sort by Internal ID (highest to lowest), if necessary, to bring your journal entry to the top of the list
  • Click "View" to review the details of the Journal Entry you imported
  • Make any necessary Edits if any information is missing / incorrect
  • Journal Entry status = "Pending Approval" and ready to be posted by a Journal Approver
