6. Tracking activities - c) Record meeting or call notes
Following a meeting or phone call with an external contact, you can record your notes directly within Salesforce. To do this you must first open the task or meeting record in Salesforce for the call or meeting you wish to record notes for.
If no record yet exists for you call or meeting, you must first create it:
- For scheduled meetings or conference calls: use Salesforce Lightning for Outlook to sync your meetings to Salesforce
- For unscheduled calls or voicemails: create a task record in Salesforce.
There are several ways to record meeting or call notes, depending on the length or format of the notes themselves. You can choose to mechanism that is most convenient for you.
i. For simple notes
Notes that are no more a few paragraphs and that do not require any formatting (including bullet points) may be recorded in the Comments field of the call task or meeting record:
- Open the task or meeting record in Salesforce for the call or meeting you wish to record notes for.
- Press the Edit button.
- Enter your notes as plain text in one of the following fields:
- in the Comments field for call tasks
- in the Description field for meetings
- Press Save
- Remember to record action items as separate tasks related to the opportunity record. (See Create a task record in Salesforce)
ii. For more detailed or formatted notes
Notes that are longer or that require text formatting or bullet points may be recorded as a Salesforce note related to the task or meeting record:
- Open the task or meeting record in Salesforce for the call or meeting you wish to record notes for.
- Scroll down to the “Notes” section.
- Press the New Note button
- Change the note title at the top of the screen to “Meeting Notes” or “Call Notes”, or another title of your choice.
- Type or paste in your notes in the main body of the note.
- Note: If you are having difficulties preserving the formatting of text you are pasting into the note, it can sometimes help to paste it first into a Word document, and then copy and paste the text from Word into the Salesforce note.
- Press Save
- Remember to record action items as separate tasks related to the opportunity record. (See Create a task record in Salesforce)
iii. For notes saved in a separate Word document
Notes that are already saved in separate word file or document, can be posted to the meeting or call record.
- Save the document containing the notes in the Box folder for the opportunity record. (See Manage documents and files in Salesforce and Box)
- Post the notes document to the task or meeting record that you wish to record notes for (See Post working files to a task or meeting record)
