4. Managing and revenue pipeline - e) Opportunity contact roles
The revenue pipeline is the ensemble of all future revenue opportunities that are currently being pursued at Tides Canada Foundation and tracked as opportunities in Salesforce. The donations pipeline is tool that allows us to forecast future revenue, make strategic decisions, and drive activity that will sustain and grow our revenue stream.
To maintain an accurate and effective donations pipeline, specific opportunity fields and key related records must be kept updated to reflect the latest information and interactions with a donor. These are described in detail in the following section.
Each Opportunity Lead is responsible for keeping their own pipeline of opportunities up to date on an ongoing basis.
The Senior TCF Coordinator will undertake a quarterly process in consultation with Opportunity Leads and Development Leads to ensure the ongoing accuracy of the pipeline by:
- Reviewing and updating all open opportunities to ensure they are accurate
- Identifying and entering renewals of opportunities received in the previous quarter
e) Opportunity contact roles
Opportunity contact roles are used to record the role that a contact other than the donor or prospect themselves who may play a role in an opportunity. The most common scenario is to use opportunity contact roles to record the staff level decision-makers or influencers who are involved in an organizational gift.
To manage opportunity contact roles, follow these steps:
- Ensure the contact(s) that you wish to associate with the opportunity already exist in Salesforce.
- Open the opportunity record with which you wish to associate contacts.
- Scroll down to “Contact Roles” related list.
- Press New button
- Under Contact, select up to 3 contacts you would like to associate with the opportunity.
- Under Role, select the appropriate role for the contact:
- Board Member – Board Director or Trustee of the organization
- Decision Maker – Executive or senior leader with direct authority to make funding decisions
- Influencer – Staff member who can influence decisions or serve as a connector, but cannot make funding decision directly.
- Leave Primary set to “No Primary Contact”. Only donations from individuals should have a primary contact.
- Press Save
- If you wish to add more than 3 contact roles, repeat the process as desired.
- To delete a contact role, return to the opportunity record, and scroll down to the “Contact Roles” related list. Press the Del button to the left of the specific contact role you wish to remove.
