1. Fundraising Role and responsibilities - b) Duties
This section aims to clarify the roles and responsibilities of individuals and departments in managing individual revenue opportunities at Tides Canada, including donations and fee for service contracts. This document aims to:
- define the specific fundraising roles that exist for each opportunity and how these should be assigned;
- define the specific responsibilities and accountabilities of each role with respect to the full range of activities involved in managing revenue opportunities.
b) Duties
Each role listed above has specific responsibilities/involvement in the various duties associated with revenue generation. These duties include:
- Prospect strategy: Deciding what we will ask the prospect for, how much we will ask for, and right approach for cultivating the gift and making the ask.
- Moves management: Deciding on the specific fundraising tactics to pursue and executing these. Includes tactics supporting cultivation, solicitation and stewardship. These include the full range of touch points with a prospect, including written correspondence, phone communication, invitations to events, meetings, solicitations, and recognition. Ensuring all planned and completed activities are logged in the CRM.
- Proposals: Oversight of the proposal development process, the overall strategy/positioning of the ask, donor-specific content, and engaging program leads as appropriate to obtain program-specific content. Ensuring proposals are logged in the CRM.
- Reporting: Ensuring that all specific reporting requirement/deliverables are submitted on time. Reporting on the process overall, the overall strategy/positioning of the report, donor-specific content, and engaging program leads as appropriate. Ensuring reports are logged in the CRM.
- Program Content: Providing specific content regarding the objectives, plans or outcomes of a program or project to feed into reporting or a proposal
- Pipeline management: Setting and recording expectations concerning ask amount, probability, close dates, and restriction of revenue, if any. Ensuring these are kept up to date in the CRM to support accurate forecasting and financial reporting.
- Financial reporting/budgeting: for restricted or fee for service asks, generating reports or budgets showing how a donor’s funds have been/will be spent
- Stewardship/recognition: ensuring Tides Canada’s donor stewardship and recognition policies are properly and consistently applied.
- Grant agreements: Negotiating and/or drafting the terms of a grant agreement/written pledge with the prospect.
