Receipting structure

Tides receipting requirements:

  1. Confirming which Opportunity record types are:
    1. Receiptable:
      1. Award  for individuals
      2. Donations
      3. Gift in Kind
      4. Major Gift
      5. Matching Gift  receiptable to the corporation
    2. Not Receiptable
      1. Fee for Service
      2. Fund Activity
      3. Membership
      4. Sponsorship
      5. Sale of Goods
      6. Registration
  2. Minimum receiptable amount:
    1. Single gift = $10
  3. High value opportunities over $1000:
    1. KELL built a process to create a task to development coordinator to add custom note to the acknowledgment letter.
    2. Separate list view for audit and approval of high value opportunities

Approval Process

All records must first be approved prior to the receipt being generated either manually or by the scheduled job.  Records can be approved either en masse via the list view or on individual records.  Once a record is approved it will move into the queue to be receipted.

Single gifts

  1. Individual Receipt processes:
    1. Receipts are issued at the Payment object for single gifts.
    2. Single gift = Single opportunity with 1 payment  single or multiple allocations.  Once approved receipts are issued for payments every business day.
    3. Single gift pledge = Single opportunity with 1 payment at a future date  single or multiple allocations.  When payment is paid the opportunity will be closed won at which time the receipt will be issued.  Once approved receipts are issued for payments every business day.
  2. Pledge and Awards
    1. Pledge gifts with multiple payments that may overlap calendar years.  1 opportunity with multiple payments per opportunity with either single or multiple allocations.  Receipts are issued for each payment as individual receipts once approved every business day.
    2. Awards from individuals  multiple payment that may overlap in calendar years. 1 opportunity with multiple payments per opportunity with either single or multiple allocations.  Receipts are issued for each payment as individual receipts once approved every business day.

Recurring gifts

Recurring donations

  1. Historical recurring gifts  Loaded as single gifts with no master record  each installment receipted as a single gift same as point A.
  2. New recurring gifts - C&P Recurring record with multiple opportunities 1 for each installment, 1 payment per opportunity with either single or multiple allocations.  Receipts are generated once per year as a consolidated receipt for all closed won opportunities in the calendar year.

Acknowledgements

  1. All Foundation accounts should not receive receipts.  Account type = Charity-Canada, Charity-International, Federal Government, Municipal/Regional Government, Not-For-Profit, Provincial/Territorial Government - all opportunities related payment records will have the acknowledgment only check box = true.
  2. Foundations receive acknowledgment only.

Delivery of Receipts

  1. Online gifts   - Always email receipts. - Payment object field "Email Receipt?" = True
  2. Offline gifts  Email receipts - if account communication preferences = anything but no mail and receipt contact email is not blank  then receipt is emailed. Payment object field "Email Receipt?" = True
  3. All others receipts are printed.

Tax receipting package custom fields

  1. Ready to Print - Formula field - status is controlled by the receipting package.
  2. Receipted - Formula field - status is controlled by the receipting package.  Status can be either Not Receipted, Receipted, Voided.
  3. Receipt Acknowledgement - Formula field - Receipt number which is automatically generated by the receipt package.
  4. Receipt Date - Date field - Date the receipt is generated, this field is controlled by the receipt package.
  5. Legacy Receipt Number - Text field - Receipt number from the legacy system.  If this field is populated then the Ready to be Approved and Ready to Print fields will be No.
  6. Receiptable Amount -Formula Field -  Amount of the receiptable record (Single gifts = Payments, Recurring gifts = Click & Pledge recurring)
  7. Benefit Value - Text field -  For in kind gifts or stocks, this amount will be deducted from the amount for of the receiptable record to calculate the Receiptable amount.
  8. Appraiser Details - Text Field - Custom field for Appraiser details.
  9. Tax Receipt Description - Text Field - Custom field for notes to be added to the official receipt.

Tides specific custom fields

  1. Ready to be Approved - Formula field - status is controlled by the receipting package and is marked as Yes when the record is ready to be approved and Approved when the Approved Check Box is checked.
  2. Approved - Check box - indicates that record has been reviewed and approved.
  3. Email Receipt - Check box - Based on a flow when criteria is met the check box will be true.  The receipt package will use this field to email the receipt to the contact.
  4. No Receipt Reason - Picklist - Reason no receipt should be issued.
  5. Recognition Name - Formula field - Based on a flow the recognition name field will automatically populate and can be inserted into an acknowledgment template using [[RECOGNITION_NAME]]
  6. Fund Designations Public - Formula field - From any funds the payment is allocated to, the field Public Name and amount of allocation will be merged into this field.  This field can be inserted into an acknowledgment template using [[FUND_DESIGNATIONS_PUBLIC]].
  7. Fund Type - Formula field - From any funds the payment is allocated to, the field Type will be merged into this field.  
  8. Fund Code - Formula field - From any funds the payment is allocated to, the field Fund Code will be merged into this field.  This field is used for receipt assignments rules.
  9. Allocated Funds - Formula field - From any funds the payment is allocated to, the fields Public Name, amount and Fund code of the allocation will be merged into this field.  
  10. Fund Name - Formula field - From any funds the payment is allocated to, the field Public Name of the allocation will be merged into this field.  This field can be inserted into an acknowledgment template using [[FUND_NAME]]
  11. Receipt Note - Text Field - Custom field for Tides to add custom notes to an acknowledgment letter. Merge field [[ReceiptNote]]
