Distributions with Multiple Withdrawals

Once a Distribution is created, a corresponding Withdrawal is created. After the (first) Distribution is saved, proceed immediately to processing its Withdrawal.

  1. Navigate to the (first) Distribution for the Grant and click Related at the top of the Distribution record.
  1. In the Related window, the first section will be Withdrawals.
  2. Right-click on the already-created record under Withdrawal Number and open a new tab with the record of the Withdrawal associated with this Distribution. Salesforce auto-fills the Withdrawal using information from the Distribution.

If this Distribution is being paid from more than one source - either from two Funds, two Awards or one with No Award and one with an Award – then you must manually create multiple Withdrawals. When you created the Grant Object, you did not specify a Single Source Fund, so the Withdrawal is not showing where the Distribution is drawing from. To set up multiple withdrawals for one Distribution:

  1. Navigate to the existing Withdrawal and open it.
  2. Fund: Because no Single Source Fund was specified when the Grant Object was created, there will be no Fund assigned. Enter the appropriate Fund.
  3. Withdrawal Amount: Change this to the $ amount being paid to that portion from this Fund.
  4. Award Assignment: If there is an Award, select the appropriate Opportunity. If there is no Award, leave this blank.
  5. No Award: Select whether there is an Award (No Award: No) or not (No Award: Yes). 
  1. Return to the Related tab of the Distribution in question. 
  2. At the top right of the Withdrawals section, click on New.
  1. In the new Withdrawal, fill in information about this Withdrawal ($ amount, Fund and/or Award Assignment).
  2. You can make as many Withdrawals as needed.
  3. Click Save.

NOTE: All the Withdrawals of a Distribution must add up to the Distribution amount.
