On-hold Opportunities
An on-hold opportunity is one in which the applicant notifies us of their intent to submit a funding application on a specific date but subsequently notifies us that they can no longer provide us with a reliable submission date.
Reasons why a submission date may be undetermined:
- The funder has postponed a deadline but has not yet set a new date
- The application did not have a specific deadline tied to it, and submission timing is based on applicant capacity
Based upon the applicant's initial notification to us, a Salesforce opportunity will have been created, and the original date provided will have been used to calculate Close Date. If the application is for a MakeWay project, the deadline will also have been added to Outlook and to the Shared Platform Proposal and Report Deadline Smartsheet—both of which are also linked to the original deadline provided.
Note: It is up to the discretion of the Project Specialist or Development Lead if and when to decide whether to follow the on-hold processes outlined below or to modify the deadline further into the future as a means of forcing a check-in on the status of this proposal at that date.
Is the application for MakeWay Foundation or MakeWay Charitable Society?
Step 1. Update Salesforce Opportunity
1. Delete payments on Salesforce opportunity
2. Change stage on Salesforce opportunity from Ask Planned to Not Submitted
3. File any related correspondence
4. When the applicant provides a new submission deadline, create a new Salesforce opportunity with the updated close date and upload any documentation from the previous opportunity
Step 1. Update Salesforce
1. Delete payments on Salesforce opportunity
2. Change stage on Salesforce opportunity from Ask Planned to Not Submitted

4. When the applicant provides a new submission deadline, create a new Salesforce opportunity with the updated close date and upload any documentation from the previous opportunity
Step 2. Update Shared Platform Proposal and Report Deadline Smartsheet
1. Delete date from the Deadline column and add TBD
2. Add any additional information on the deadline change to the Notes column
Step 3. Remove event from project Outlook calendar
1. Make sure that all information from the calendar event is saved on the Salesforce opportunity, e.g., templates, proposal guidelines, submission instructions, etc.
2. Delete event, including a note for recipients that the project will submit at an unknown future date
3. When the project provides a new submission deadline, create a new Outlook calendar event, making sure to include all templates, guidelines, submission instructions, etc.
